ubGamers Oct 10 meeting

UB Gamers Meeting Minutes
October 10, 2007

Meeting held in AC 219

Meeting called to order at 5:39 pm and closed at 8:30 pm

Members in attendance: Robert Brandon, Daniel Goldberg, Calvin Green, Alfonso Henson, Michael Kotey, Jason Lampkin, Julia Lemich, Robert Siciliano, Joseph Craig, Stephen Kramer, Michael Ziegler, Jessieca McNamara, Caleb Waggoner

Motion Summary for this meeting:

  • A motion to submit the constitution as outlined and laid out by the President was unanimously approved and signed by all members of ubGamers.
  • A motion to change definition of a quorum from ¾ to 2/3 and four of the club’s officers was unanimously carried.
  • A motion to submit the revised list of Development Job Definitions as outlined by the Vice-President was unanimously approved and signed by all members of ubGamers.
  • A motion to have the ability to use club game development project to claim school credit (through an independent study) was unanimously approved.
  • A motion to switch from vocal response to a raise of hands system for club voting procedure was unanimously approved.
  • A motion to develop Zombie Racers: High Speed Shambling as pitched by the President was unanimously approved.

The following points were discussed:

  • Vice-President went over Development Job Definitions for the Club Game project. He was advised to add Graphic User Interaction (GUI) to list of duties and asked to specify different design roles.
  • President clarified role of producer and made a suggestion to him to keep a journal of the problems encountered and the derived solutions.
  • 1st LAN party scheduled for next Friday- October 19. Even though we have no access to club funds yet, Kathleen advised us to invite highschoolers to the LAN party. Kathleen will coordinate with Mike Zeigler on inviting students from the three high schools.
  • Thanks to the support of club members, we have the following for the LAN party: 7 Gamecubes, 5 Wiis, 9 memory cards, 24 controllers and 6 copies of Smash Brothers Melee.
  • Mike Zeigler will request 7 tvs and book the multipurpose room for the event. He will also find out what time parents want their kids home by.
  • We will ask Professor Sykes to help out with the event if he is available.
  • Kathleen will pay for the food. Club members need to ensure that no participant is simply scoffing copious amounts of food. Procedure is to ask them to leave and to call security if needed. Drinks will be at the participants’ expense. We might have drink runs if not, a club member will escort the participants to the vending machines.
  • Mike Zeigler and Jessieca McNamara will work on a Rules of Behavior statement for our guests.
  • Julia’s team will present drawings of the bio zombies and she’d pick the top 3.
  • To garner more funds, ubGamers is listed as an atheletics club.

Meeting for ubGamers’ Officers Sept 21, 2007

How many events per month?

Kathleen’s Advice was to have no more than 1 event a month on the last Friday of the month
President aims for 1 event each 4/5 weeks.

What type of events we want to do?

We discussed:
  1. LAN parties,
  2. Play testing for game companies where they supply questionnaires and NDA
  3. Talks by people from game companies and graduates of SDE
  4. Bryan Reynolds wanting a database of UB students who are willing to be play-testers
  5. Speakers during regular meetings such as Sid Meier, programmers and designers (5-10 minutes) probably for the Spring since fall is crunch time
  6. Offer to hold the Baltimore chapter of the IGDA meeting here at UB once we are ratified by the IGDA. We could feed people in the multi-purpose room
  7. Have club meetings each Wednesday with the exception of these days: 22nd Nov (Thanksgiving) and 12th Dec (Exam Week)
  8. Printing 50 T-shirts with Grab the Emu ubGamers
LAN party Details
  1. We have $10,000 to transport high school students using vans and provide them with pizza. We will The department has the budget to do this 3 times during the semester
  2. LAN parties should be regular, at least one a month
  3. LAN party dates: Fridays 19th October, 16th Nov, 14th Dec
  4. Unreal Tournament too adult for the high school crowd
  5. We decided on the wii and maybe x-box 360 over pcs
  6. 1st LAN party game will be Smash Brothers Melee where we need as many memory cards as we have wiis.
  7. Also consider wii sports, wii play and Ghost Recon 5 for other LAN parties
  8. Prizes of books and maybe games for 2nd and subsequent LAN parties
  9. Suggestion that we charge $1.00 for each person who attends LAN party to help with Club funds
  10. Largest LAN party after-exams blow-out for 14th Dec
  11. Budget for triple the number of people who are expected for the LAN party
  12. For the 1st LAN party, we will aim for 30 and will probably get no more than 40 people
  13. We should have our web-site up and running by 5th October at the latest
  14. We have Kathleen’s permission to host it on SDE’s website
  15. We’d send out flyers and have a web-form for attendees
Other matters:
  1. Executive officers will finalize Club Statement, constitution and by-laws as soon as possible
  2. For our Club project, we will aim to have a game concept complete and ratified on 26th September
  3. We will aim to have a Game Design Document by 3rd Oct
  4. We may have more artists coming into the Club project
  5. Budgetary matters: For this semester, we need to budget money for LAN parties, equipment for LAN parties and Club paraphernalia- shirts and baseball caps. Future semesters, we need to budget for student work checked out by Firaxis and other game companies, hosting Baltimore chapter IGDA meetings and events at UB and professional copies of development software
